Start with the affected item and its current stage. A seller return before international dispatch and a problem discovered after delivery need different information.

This guide provides a checklist for preparing a request and following the money afterward.

Check eligibility promptly

Check the return option and deadline in your order record. Review the seller’s conditions, any excluded product categories and the required item condition before making a request. Record the exact deadline for the affected item instead of applying a time limit from another purchase.

Keeping an item in storage does not make its return eligibility indefinite. Review your QC photos when available and save any uncertainty as a specific question.

Before changing the item or its packaging, check:

  • Whether the seller accepts a return for the reason you are giving.
  • Whether tags, seals, original packaging and accessories must remain intact.
  • Whether the selected product or customization has special conditions.
  • Which event starts the deadline, and the date and time recorded for your item.

If you are still deciding, avoid requesting tag removal or disposal of packaging until you understand the return requirements. Save the conditions relevant to your purchase alongside the order record.

Identify the stage before acting

Use this checklist to gather the relevant information before contacting the provider handling your order.

Current situation What to check next
The purchase has not progressed to seller dispatch Check the order’s available cancellation or after-sales actions.
The item is in the warehouse Check the return deadline, eligibility and any costs before submitting a parcel.

A parcel awaiting payment is not the same as a parcel already handed to a carrier. Read the latest status before choosing an action, especially if packing is already in progress. Ask whether the affected item can still be excluded; do not assume that sending a message has stopped dispatch.

If other items are ready to ship, keep their records separate from the disputed item. Review their deadlines and packaging choices with the warehouse and packing checklist.

Match the evidence to the problem

Start with an observable difference between what you ordered and what you received. Use the following as an evidence checklist, not a finding that a return has been approved.

For a size concern, distinguish a different size being supplied from the size you selected not fitting as expected. Describe which situation applies. If the question is a measurement, specify how it was taken rather than comparing numbers from different measurement points.

Keep original image files. An annotated copy can highlight a concern, but do not crop away the identifying context or alter the original. Use photos from the affected order; another buyer’s QC pictures do not establish what arrived in yours.

Prepare a useful request

Our suggested message has four parts: order reference, the variation ordered, the discrepancy, and the outcome you are requesting.

For example: “For order [reference], I selected [size]. The attached label photo appears to show [different size]. Please check the variation received and advise which return or exchange options apply.” Replace the brackets with your own information; this is an example, not an actual customer case.

Attach readable photos and describe observations separately from assumptions. Keep each item identifiable if several orders have similar names.

Keep the conversation under the same case reference where possible. Note when you submitted the request, any response received and what information is still outstanding. If an exchange is offered, confirm the replacement variation, any additional costs and what happens to the original item before accepting it.

Check the proposed refund amount

Before proceeding, request a breakdown of return shipping, handling charges and the expected refund amount. Confirm who pays each charge and whether the seller has accepted the return. Keep that response with the order record.

Check the breakdown against the amount actually paid for the affected item, not today’s catalog price. For a partial return, identify the exact quantity included. Ask which delivery charges or selected services are included in the calculation and which are not, rather than assuming the whole order total will be returned.

Record the currency alongside each amount. If a payment conversion or separate charge appears, ask for its explanation before treating it as a missing refund. The fees guide helps separate product costs from parcel and optional-service costs.

Track the return and the money separately

Joyagoo’s published order-status descriptions distinguish these stages:

  • Refund Request: the refund is being discussed with the seller. Check whether a decision or further evidence is still needed.
  • Returning: the item has been sent back and the refund is awaited. Keep the return reference with your case.
  • Returned: the return is complete and the refund is credited to the account balance. Check the corresponding balance entry and amount.

Track the return and the refund separately. Check whether the money is credited to an account balance or returned through a payment method. An account balance credit is not evidence of a separate transfer to your bank.

Record the amount credited and compare it with the breakdown you were given. If you also request a withdrawal, keep its confirmation separate from the item return. For any mismatch, provide the case reference, expected amount, received amount and currency. The payment guide explains how to reconcile payment and account records.

If the issue appears after delivery

Photograph the parcel’s condition and retain evidence of the issue. Check the reporting deadline and required documents attached to your delivery service before discarding any packaging.

Where possible, photograph the outside of the parcel before unpacking, including visible damage and the shipping label, then document the contents. Keep these files private when they contain your address or other personal information.

Distinguish an incorrect product from damage in transit or missing parcel contents. State what you observed and when, without assigning responsibility solely from the first photo. Ask which evidence and reporting process apply to that specific delivery; a delivery claim and a seller return are separate questions to resolve.

Keep the shipping label, original packaging, item photos and the time you first reported the issue together. Send case details to the support contact attached to the order; this directory cannot access orders or approve refunds.

Common return and refund questions

How long will my refund take?

Identify the pending step first: seller response, return delivery, account credit or a separate payment withdrawal. Ask for an update on that step using its reference. Do not apply the timing of another buyer’s refund to your own case.

What if I cannot see a return option?

Save the current order status and check the recorded deadline and item conditions. Ask the provider handling the order which actions remain available and why the option is missing. Do not send an item to an assumed return address without instructions tied to the case.

Does cancelling a parcel also refund the products?

Treat the parcel and the item purchases as separate records. After a parcel cancellation, check each item’s status and any payment entries. A cancelled shipping arrangement alone does not show that a seller return or item refund has been completed.

Should I keep checking storage while a return is pending?

Yes. Keep the storage deadline visible alongside the return request. Ask whether any storage action or extension is needed; do not assume that an open case has changed the deadline.
